This Privacy Policy describes how BC Dairy (or “we”, “us” or “our”) collects, uses, shares, and protects personal information in the course of fulfilling its mission of inspiring, innovating, and collaborating to build a healthy Canadian dairy industry.   

What is Personal Information?   

Personal information means information about an identifiable individual.   

Personal information does not include information about a corporation or business contact information.  

What Personal Information does BC Dairy collect?   

BC Dairy may collect personal information in the course of its operations as a board established under Marketing of Agricultural Practices Act including in connection with the promotion of milk and dairy products, as an employer and for the purposes of providing services and information to individuals.    

BC Dairy normally collects personal information directly from individuals, but may also collect personal information from third parties with consent or as authorized or required by law.    

The type of personal information that BC Dairy collects varies based on the nature of your relationship with us, but may include: 

  • Name and contact information  
  • Financial information, such as banking details for payments, tax identifiers, reimbursement records, invoices, and financial details required to administer contracts or programs.  
  • Information provided in surveys, inquiries, or complaints  
  • Educational and employment history of employee applicants 

Consent to Collection, Use and Disclosure   

BC Dairy asks for consent to collect, use or disclose personal information, except in circumstances where collection, use or disclosure without consent is authorized or required by law or where an individual is deemed to consent.   

An individual may consent verbally or in writing to the collection, use and disclosure of personal information and may be deemed to consent if they voluntarily provide information to BC Dairy and the purposed for which BC Dairy uses the information are obvious. An individual may also consent if they do not opt out in a reasonable time after receiving clear and understandable notification of the collection, use and disclosure by BC Dairy.  

BC Dairy may ask for your express consent for some purposes and may not be able to provide certain services if you are unwilling to provide consent to the collection, use or disclosure of certain personal information.  

You may withdraw consent to the use and disclosure of personal information at any time, subject to contractual and legal restrictions.   

How does BC Dairy use personal information?  

BC Dairy uses personal information for the purposes for which the information was collected, except as otherwise required or authorized by law. These purposes include:  

  • Operating and providing our programs and services  
  • Sending you information that you have requested  
  • Responding to questions, complaints or inquiries  
  • Evaluating your application for employment 

 

How does BC Dairy disclose personal information?   

BC Dairy discloses personal information:   

  • To our third-party service providers who provide services such as website hosting, data analysis, payment processing, IT products and services, auditing and other similar services. 
  • With other federal and provincial dairy marketing boards for the purposes for which the information was provided or as otherwise permitted or required by law.  
  • To third parties to the extent necessary to provide a product or service that you have requested from us.   
  • In connection with, or during the negotiation of, any reorganization, dissolution of all or a portion of our organization.  
  • As we believe to be necessary or appropriate to comply with applicable law or legal processes, respond to lawful requests from public and government authorities, enforce our agreements, and protect our operations, and the safety and security of our property and personnel.  
  • To other parties when you have provided your consent or as otherwise permitted or required by applicable law.  

How does BC Dairy store and safeguard personal information?  

BC Dairy protects personal information in a manner appropriate for the sensitivity of the information. BC Dairy makes reasonable efforts to prevent unauthorized access, use, or disclosure of personal information. However, no security measures can guarantee absolute security and therefore despite these measures, it is possible that your personal information may be accessed, used, or disclosed without authorization.  

BC Dairy uses appropriate security measures when destroying personal information, including shredding paper records and permanently deleting electronic records.  

BC Dairy retains personal information only for as long as is reasonable to fulfill the purposes for which the information was collected or for legal, regulatory or business purposes. BC Dairy is required by law to maintain certain records for set amounts of time.  

 Can I make a request for my personal information?   

Individuals have a right of access to their personal information in a record under BC Dairy’s custody and control, subject to some exceptions.   

You may make a request for access to your personal information in writing to the BC Dairy Privacy Officer. You must provide sufficient information in your request to allow us to identify the information you are seeking.   

If a request is refused in whole or in part, BC Dairy will provide the reasons for the refusal. In some cases where exceptions to access apply, BC Dairy may withhold that information and provide the remainder of the record.  

You may also request a correction of an error or omission in your personal information.  

We may charge a reasonable fee to provide you with your personal information but not to make a correction. BC Dairy will advise of any fees that may apply before beginning to process your request.   

Storage of Information Outside of Canada   

BC Dairy uses certain third-party service providers to support HR, payroll, and administrative functions. While most data is stored in Canada, some personal information may be accessed or stored outside of Canada.
